Terms and Conditions

These Terms and Conditions ("Agreement") govern your purchase and use of travel packages ("Package") offered by Podium Sports Travel ("we," "us," or "our"). By purchasing a Package, you agree to be bound by these Terms and Conditions.

1. Package Components: One guest per room must be at least 18 years of age. Each Package includes a minimum two night hotel stay. Details of inclusions for your specific Package will be provided at the time of booking and listed in your confirmation.

2. Booking and Payment:

  • Reservation: All Package bookings are subject to availability and confirmation. A booking is confirmed only when Podium Sports Travel issues a written confirmation and receives the required payment.

  • Pricing: All prices are in USD and are subject to change without prior notice until the booking is confirmed. Prices include taxes but do not include items of a personal nature such as gratuities, hotel incidentals, etc. unless explicitly stated.

  • Payment Schedule: A $50 per person or per room (as specified on booking form) deposit is required at time of booking. Full payment is due on November 14, 2025 and will be automatically charged to the credit card used at time of booking. Any bookings made on or after November 14 will require full payment.

3. Cancellations and Refunds (by Customer):

  • Cancellation Policy: All cancellations must be submitted in writing to contact@podiumsportstravel.com. The effective date of cancellation will be the date we receive your written notification.

  • Cancellation Fees:

    • Deposits made prior to November 14, 2025 are non-refundable.

    • From November 14, 2025 to January 15, 2026 75% of your total package cost is refundable. Beginning January 15, 2026, your package is fully non-refundable.

    • Bookings made on or after January 15, 2026 are fully non-refundable.

  • Refund Processing: Refunds, if applicable, will be processed within three business days to the original payment method only.

4. Changes and Amendments (by Customer):

  • Requesting Changes: All requests for changes to a confirmed booking are subject to availability and must be submitted in writing to contact@podiumsportstravel.com. 

5. Cancellations and Changes (by Podium Sports Travel):

  • We reserve the right to cancel or make changes to any Package at any time due to unforeseen circumstances, including but not limited to: “force majeure” events, event cancellation or postponement, insufficient bookings, supplier unavailability.

  • In the event of a significant change or cancellation by us, we will notify you as soon as possible and offer you: An alternative Package of comparable standard or a refund of monies paid for the Package minus administrative and unrecoverable fees as determined by Podium Sports Travel.

  • We will not be liable for any additional costs incurred by you as a result of our cancellation or change (e.g., flights booked independently).

6. Responsibility and Limitation of Liability:

Podium Sports Travel acts as an agent for the suppliers (e.g., hotels, motor coach companies) of the services included in your Package. We are not responsible for the acts, omissions, or failures of these third-party suppliers. Our liability for any loss, damage, injury, or death arising from the Package is limited to the amount paid by you for the Package. We shall not be liable for any indirect, consequential, or special damages. This limitation of liability does not exclude or limit any liability for death or personal injury caused by our negligence or fraud.

7. Governing Law and Jurisdiction:

This Agreement shall be governed by and construed in accordance with the laws of the state of Colorado. Any disputes arising out of or in connection with this Agreement shall be subject to the exclusive jurisdiction of the courts of Colorado.

8. Miscellaneous:

  • Severability: If any provision of this Agreement is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.

  • Entire Agreement: This Agreement constitutes the entire agreement between you and Podium Sports Travel regarding your Package purchase.

Purchase Policy

This Purchase Policy outlines the specific terms related to the purchase of travel packages from Podium Sports Travel. By proceeding with a purchase, you agree to these terms.

1. Booking Confirmation:

  • Your booking is confirmed only upon receipt of full payment and our issuance of a confirmation email or document. This confirmation will detail your Package inclusions, dates, and other relevant information.

  • Please review your confirmation carefully immediately upon receipt and contact us within 24 hours if you notice any discrepancies.

2. Special Requests:

Any special requests (e.g., room type, dietary requirements) must be made at the time of booking. While we will endeavor to accommodate requests, we cannot guarantee them and are not liable if they cannot be fulfilled.

3. Age Restrictions:

Purchasers must be at least 18 years old to book a Package with us. Travelers under the age of 18 must be accompanied by an adult.

7. Feedback and Complaints:

If you experience any issues during your trip, please notify the local service provider (e.g., hotel front desk) immediately to allow them to address the issue. If the issue remains unresolved, please contact Podium Sports Travel during your trip. Any complaints after your return must be submitted in writing to contact@podiumsportstravel.com.

  • To Process Bookings: To confirm and manage your travel package, including hotel reservations, flights, and other services.
